Group Charter Case: 32 Pax, Three Nights in Guangzhou, a Day Split to Shenzhen and One Airport Run
In October 2026 a 32-person group stayed in Tianhe, Guangzhou and needed the city every evening for three nights, fixed to a 19:00-24:00 window. On one of those days 10-12 of them broke away for a Shenzhen round trip; on the last day all 32 went to Shenzhen Bao'an Airport in one 38-seat coach - a cross-city run, not a city transfer.
Two vehicles were used - a 38-seat coach and an 18-seat minibus - but never at the same time. A group that stays put, splits during the day and goes out together at night is harder than a single transfer: the vehicle is charged by the day, the group is split by headcount, and the timings have to be staggered. Here is what was arranged and the three real problems.

The three real problems
1. 19:00-24:00 is five hours, not two one-way transfers.
An evening out means dinner, a view, one or two stops - and waiting in between, plus a change of plan halfway through. Quote it as one leg plus one leg and there is nowhere to put the waiting, which is exactly what gets argued over at the end. It is priced as a time charter: for those five hours the vehicle and driver belong to the group, whatever the stops and however long the wait. Anything over the window is charged by the hour, agreed up front.
2. Two vehicles on the same day, but they cannot compete for the same hours.
On 17 October the minibus left at 08:00 for Shenzhen and was back by 16:00, while the coach left for the city at 19:00. Two vehicles, two drivers, and three hours in between for the day driver to eat, clean the bus and refuel. What does not work is running one vehicle through both: an 18-seat minibus cannot take 32 people, and sending a 38-seat coach to Shenzhen with ten passengers doubles the cost and takes the evening vehicle off the road.
3. The airport run is to Shenzhen Bao'an, and the time is set from the flight, not from the hotel.
This is not a half-hour hop to a city airport: Tianhe in Guangzhou to Bao'an in Shenzhen is a cross-city run on the expressway, with the Shenzhen end to allow for, so the drive is planned on the worst case rather than the best. The line on the booking sheet reads "time to be confirmed" - until the flight is fixed, the departure time cannot be fixed either. Loading 32 passengers and their cases takes real minutes, and a 38-seat coach has the seats but the hold still has to be sized for the luggage. Behind that sit the drive, the check-in cut-off and the morning peak. The order is: flight departure, check-in close, airport arrival, hotel departure.
How to book the same thing, and how it is priced
Count the shapes of a day first. This booking was really three: a five-hour evening, a cross-city round trip, and a one-way airport run. Fold them into a single "day rate" and one of the three always loses money; priced separately, the client can also see where the money goes.

One way, round trip or a full day - all three are priced. This booking ended at the airport, so the last leg was a one-way. The same job is just as often a round trip (drop-off now, pick-up in a few days, same vehicle and driver) or a full day (airport plus a factory, a hotel and a city stop). One way is quoted as one way; a round trip usually costs less than two separate one-ways; when the day has several stops and long waits, the day rate is the cheaper shape. It is set by what the client needs, not by what is easiest to quote.
Then size each leg. 1-6 passengers in a 7-seat business van, 7-27 in a minibus, 28-55 in a coach. At 32 the group sits in the coach band and one 38-seat coach is enough; a day split of 10-12 fits an 18-seat minibus. How far ahead. Groups staying several nights and wanting the same driver should lock the vehicle 5-7 days ahead, and earlier around fair dates and public holidays. Locked means one vehicle and one driver for the whole stay, so nobody has to identify a new bus every evening.
Group charter: common questions
How is a five-hour evening charter priced?
By the hour, not by adding two one-way transfers together. The vehicle and the driver belong to the group for those five hours, including every stop and the waiting at each one. Anything beyond the agreed window is charged by the hour, agreed before the evening starts.
The same group goes to Shenzhen by day and needs the city in the evening - how many vehicles?
Two, staggered. A minibus runs the Shenzhen round trip during the day and a coach runs the city in the evening. The day vehicle is back in Guangzhou by 16:00, which leaves its driver time to eat, clean the bus and refuel before the evening vehicle leaves at 19:00.
Only ten people go to Shenzhen - isn't a coach wasteful?
Yes. For 10-12 passengers an 18-seat minibus costs roughly half a coach, and it leaves the coach free for the evening. When a group splits, size each leg on its own headcount.
What time should a 32-person group leave the hotel for the airport?
It is worked back from the flight, not forward from the hotel: departure time, check-in close, time at the airport, then the hotel departure. Loading 32 passengers plus luggage takes time as well; a 38-seat coach has the seats, but the hold has to be sized for the cases. For domestic flights we normally plan to arrive two hours before departure, and earlier for international.
Is the airport run one-way only, or can it be a round trip or a full day?
All three. One-way is quoted as one way; a round trip with the same vehicle and driver usually costs less than two separate one-ways; if the day also includes a factory or a city stop, it is priced as a day charter. Send the flight and the itinerary and we will quote the shape that fits - not the most expensive one.
What if the evening runs past midnight?
Charged by the hour, quoted on the spot and confirmed with you, not saved up for the final bill. Tell us during the evening if you can see it slipping - it is cheaper than adding it afterwards.
Can we keep the same driver for all three nights?
Yes, if the vehicle is locked in advance. For groups staying several nights we suggest booking 5-7 days ahead so one vehicle and one driver stay with the group and nobody has to identify a new bus every evening.
